Voice and AI
How does voice capture actually work?
Open the project on your phone, hit record, and describe the work the way you would to a colleague. The recording attaches to the project and AI drafts line items from it — descriptions, sensible quantities, and rates pulled from your pricing history. You review the draft before anything is sent.
Do I have to use voice, or can I type or paste?
You can type directly, paste meeting transcripts (Gemini, Otter, Granola, etc.), and write scope notes. Voice is the fastest way to capture context in the moment, but the same drafting flow reads any text resource on the project.
How accurate are the AI-drafted line items?
Accurate enough to review and send, not blind-send. Expect to tweak one or two quantities or sharpen the wording on a line. The drafting saves the slowest part of invoicing — rebuilding scope from memory — but the review step is yours.
Does it work with Claude and ChatGPT?
Yes. I Need Invoice is MCP-enabled, so Claude or ChatGPT can help draft invoices, prepare quotes, and surface admin actions with your approval. Nothing is sent without you confirming it.
What if I record on-site without signal?
The recording stays on your phone and uploads to the project as soon as you have signal. You will not lose a voice note because the property has bad reception.
Invoicing and SARS
Are the invoices SARS-ready?
Yes. Every invoice carries the SARS tax-invoice fields, VAT handling, sequential numbering, and ZAR support by default. Compliance is built into the document, not bolted on as a checkbox.
Can I send a quote and convert it to an invoice later?
Yes. Quotes and invoices share the same project and line items. Once the client accepts the quote, you convert it to an invoice in one click — no retyping.
Does it handle VAT correctly?
Yes. You can set the invoice as VAT-inclusive or VAT-exclusive, and the document shows the VAT line item, total, and your VAT number (if you are registered). For non-VAT-registered freelancers, you can issue a regular invoice without VAT.
Can I issue credit notes?
Yes. Credit notes reference the original invoice and carry the same disclosure detail SARS expects, so refunds and corrections are auditable.
What about progress billing on long jobs?
Keep the project alive across the build. Each progress invoice draws from the same scope so you bill against what was agreed without rebuilding it each time.
Will it work with my existing accounting software?
Invoices export as clean PDFs and structured records. Most teams use I Need Invoice for the capture-to-send flow, then push closed invoices into their accountant's preferred ledger.
Pricing and trial
Is there a free plan?
Yes. The free plan covers your first invoices, voice capture, and the quote-to-invoice flow. No card needed to start, and no trial timer in the background.
What is included in the paid plans?
Paid plans (Pro, Super) raise AI usage limits, support team workflows, and unlock heavier features. See the pricing page for a current breakdown — pricing is shown in ZAR.
Can I cancel any time?
Yes. You can cancel a paid plan from your account at any time; you keep access until the end of the period you have paid for, and your data stays accessible on the free tier.
Do you offer annual billing?
See the pricing page for the current monthly and annual options. Annual billing is typically discounted compared with paying month to month.
Are there usage limits on voice and AI?
Each plan has fair-use limits on voice transcription and AI line-item drafting. Heavy users move to a higher tier; the limits are designed so individual freelancers do not feel them on a normal week.
Integrations and security
How do hosted invoice payment links work?
When you send an invoice, the client receives a hosted invoice page with a Paystack-backed pay button. They can settle by card or EFT through Paystack's South African flow, and the invoice status updates live as the payment lands.
Is my client data POPIA-compliant?
Client and invoice data is treated as personal information under POPIA. We process and store it lawfully, with appropriate security, and surface the controls you need to respond to data-subject requests. See the privacy page for the full statement.
Where is my data stored?
Data is stored in managed cloud infrastructure with encryption in transit and at rest. Workspace data is scoped to your workspace — other accounts cannot see it.
Can multiple people on my team contribute to the same job?
Yes. Workspace members share projects. Each person can attach their own voice notes, transcripts, or scope notes, and the line-item drafting reads across all of them.
Do you have an API?
MCP is the supported integration surface today, which lets Claude and ChatGPT (and other MCP-aware clients) act on your account with your approval. A separate REST API is on the roadmap; contact us if you have a specific integration need.
